Visitors at an exhibition

A Syntra Systems product

Syntra Expo

Digital infrastructure for exhibitions — from visitor registration to deals after the pavilions close

What it is

Syntra Expo turns an exhibition from three days in a pavilion into a system that knows its buyers and works all year.

Telegram registration, QR tickets and badges, a CRM with visitor qualification, exhibitor dashboards, segmented mailings and a digital copy of the exhibition — in one system. UzFranchise Expo has already put it to work.

The problem

The exhibition industry faces the challenges of a new time.

Visitors have changed

  • Not ready to close deals right at the expo
  • Don’t want to queue at registration
  • Want to solve their task fast, not wander the halls
  • Expect useful information — without spam

Exhibitors have doubts

  • Don’t know whether clients who pay back the stand will come
  • Cut pavilion size to lower the risk
  • Don’t want to pay just for square metres
  • Want to reach every client, not only those who walk up to the stand

Organisers find it harder to sell

  • Can’t show in advance how much of the target audience will come
  • Many register, few actually come
  • No channel to reach each visitor
  • Email and SMS are costly and don’t work, while people live in Telegram

The industry demands a new approach and a new efficiency from organisers.

The solution

The new exhibition knows its buyers before, during and after the event.

The exhibition doesn’t end when the pavilions close. It knows its buyers,
understands their needs and helps close deals.

Before

We know who is coming and what they need.

During

We know whom they met and what they discussed.

After

We connect buyers and sellers online.

Over time

We understand the market and participant behaviour.

Before the expo

We know in advance who is coming and what they are looking for.

01

Registration

A visitor registers in the Telegram bot and instantly gets a QR ticket.

02

Qualification

The bot asks who they are, what industry they are in and what they want to find.

03

Clarification

A chain of touches refines the request: categories, volumes, urgency.

04

Segments

The database splits into groups: investors, buyers, distributors.

For the first time the organiser sees not a “number of registrations” but a live demand map of the upcoming expo.

Visitor profile

  • Every visitor has one digital profile across all the organiser’s events
  • History builds up: which expos they visited, which stands they scanned, what exhibitors noted
  • A year later it is not a list of phone numbers but a live database of how the market behaves
  • Exhibitors see only their own leads; the organiser sees the whole market
  • Personal data is protected, collected with consent and never sold

Demo data

During the expo

Every entry and every contact becomes data.

Entry in a second

The QR ticket is scanned and the badge prints instantly. No lists, no queues.

The badge is a business card

The QR on the badge is the visitor’s digital card. Scan it — the contact is in your phone.

Leads at the stand

An exhibitor scans a guest’s badge — the contact is in their client base at once. No manual entry.

The day at a glance

The organiser sees who has come and reminds those still on their way that the expo is on.

A chat with the visitor and a client base in one tap

  1. The exhibitor scans the visitor’s badge with a smartphone
  2. The data goes straight into the client base in the dashboard
  3. One button opens a Telegram chat with a greeting
  4. The manager keeps the conversation going and sends materials

After the expo the conversation continues: ask how useful it was and offer to continue the search online.

Exhibitor dashboard

Meetings, the client base and every client — in one dashboard.

The organiser books meetings for the exhibitor in advance with visitors interested in their services.
At the stand the manager scans badges, and the base, notes and tasks build up on their own.

Who it is for

New value from the exhibition — for each of the three sides.

For visitors

  • Telegram registration and a QR ticket in a minute
  • No queue at the entrance: the badge prints from the QR
  • The bot suggests the right companies and books meetings in advance
  • No forms at the stand — the badge is enough
  • The bot answers who is speaking, where a stand is and where to eat
  • The digital copy of the expo is open all year

For exhibitors

  • You know in advance which visitors are interested in your services
  • Meetings with future clients are booked before opening
  • The dashboard builds your client base on its own
  • Scan a badge — and you can work with the client right away
  • Your company page on the online platform collects leads all year
  • The organiser brings clients even after the expo

For the organiser

  • A base of everyone who registered — even those who didn’t come
  • A channel to the audience in the Telegram they already use
  • The whole base is qualified: who, where from, what they need
  • Segmented mailings — free and in any volume
  • Stands are easier to sell: exhibitors see you bring clients
  • Savings on the advertising budget for attracting the audience

The expo sales team gets its main argument: “specific buyers with specific requests will come to you”.

After the expo

The exhibition goes on online.

People who registered but didn’t come are not lost — this is deferred traffic.
We build a digital copy of the exhibition that keeps working after the pavilions are taken down.

Exhibition map

A visitor opens the site and sees the familiar hall layout. Click a stand — get the company page.

Stand video

A one-minute clip, as if you walk up to the stand again. Every exhibitor gets one.

Company mini-site

Exhibitors run their own page: videos, catalogues, price lists, offers — via the dashboard.

“Request a quote” and “Book a meeting” run through the platform — the organiser stays at the centre of every deal.

AI search

The right supplier is found by the system, not by chance.

Visitor request

The visitor writes the request in their own words — the AI understands.

“I need a supplier of frozen desserts in Tashkent who works with small batches”
System answerThe AI analyses every exhibitor and shows the five best-matching companies.

Not 500 stands in a row, but five precise matches — with videos, materials and a “Contact” button.

At a physical expo you can miss the right stand or walk past it. The digital exhibition removes that chance.

The new economics of the exhibition

Data turns into products.

Smart Matching

Audience matching

“We have 320 visitors interested in your product.”

Lead Generation

Leads for exhibitors

Qualified leads — during the expo and between expos.

Targeted Campaigns

Targeted campaigns

Segment campaigns on behalf of the exhibition.

Deal Facilitation

Deal support

Booking meetings and supporting negotiations.

Market Intelligence

Market intelligence

What the market looks for, which categories grow, what is left unserved.

Digital Sponsorship

Digital sponsorship

Branding of digital touchpoints: the bot, tickets, badges.

What an exhibitor buys today

  1. A pavilion for three days
  2. And a nagging question: will it pay back

What they buy now

  1. A pavilion
  2. A digital stand for a year
  3. Access to a qualified audience
  4. Leads after the expo

Leads all year, not three days.

The organiser sells not only floor space, but the audience, data, leads and deals — 365 days a year.

Security and integrations

The system fits into your processes, and the data stays with you.

Data security

A server in Uzbekistan, role-based access, a log of every action with the base, daily backups.

Telegram instead of email

Email goes unread in Uzbekistan. Telegram is the main channel; sending speed is managed automatically.

Smart segmentation

Not spam but targeted messages: one for investors, another for buyers, a third for no-shows.

Your turnstiles

API integration: turnstiles read our QR tickets, and every entry lands in the CRM.

Your data is yours

Export the whole base to Excel in one click, Bitrix24 integration. No lock-in.

A long horizon

A yearly partnership: regular updates, support and our team at every expo.

Implementation

Four stages — from a pilot to the commercial layer.

Six weeks after signing, the system welcomes its first visitors.
We estimate stages 2–4 after the pilot — on the real numbers of your audience.

Stage 1

Digital Foundation

Registration, tickets, CRM, entry and badges, exhibitor dashboards, analytics. A pilot at the next expo.

Stage 2

Visitor Intelligence

A single visitor profile, behaviour history, deep segmentation.

Stage 3

Digital Exhibition

A digital copy of the exhibition: video stands, exhibitor dashboards, AI search.

Stage 4

Commercial Layer

Audience matching, lead sales, sponsorship, market intelligence.

Frequently asked questions

What is Syntra Expo?

Digital infrastructure for an exhibition: Telegram registration, QR tickets and badges, a CRM with qualification, exhibitor dashboards, segmented mailings and a digital copy of the exhibition — in one system. UzFranchise Expo has already tested it in practice.

How long does launch take?

Six weeks after signing, the system welcomes its first visitors. Stage one is a pilot at your nearest exhibition; stages 2–4 are estimated after the pilot, on your audience’s real figures.

Can our turnstiles and CRM be connected?

Yes. Turnstiles read our QR tickets via API, and each entry goes straight into the CRM. There is also an integration with Bitrix24.

Where is visitor data stored?

On a server in Uzbekistan, with role-based access, a log of every action with the database and daily backups. Personal data is collected with consent and never sold.

Will we be locked into the platform?

No. The whole database exports to Excel with one click.

What does an exhibitor get?

Visitors interested in their services, known in advance; meetings booked before opening; a dashboard that builds the client base from badge scans; and a company page on the online platform that collects leads all year.
